Notifying Users When a Lead Is Added

  • Accessing Triggers: On the CRM dashboard, locate and click on “Automation” from the menu on the left-hand side, then create a new workflow or open an existing workflow.

  • Creating a New Rule: Click on the “+ Add New Trigger” button located at the top of the workflow.

Setting Up the Trigger

Defining the Trigger Event:

  • Under “Contact”, select “Contact Created”. This sets the rule to activate whenever a lead is added to the system.

  • To specify contacts who have been tagged, use the “Define Filters” option. Select “Has Tag” and then choose the specific tag you wish to monitor (e.g., Campaign 19).

  • Save the trigger once satisfied.

Defining the Action:

  • Below the trigger, select the “+” sign to add a new action. You have the option of sending an email, SMS, or system notification. 
  • Search for the “Send Internal Notification” action and select the channel from the dropdown.

Activating the Workflow

  • Once you’ve set up the trigger and actions, move the status from “Draft” to “Publish” at the top of the page. This will enable the workflow, and notifications will be sent out according to your setup.

Troubleshooting Tips and FAQs

  • Not Receiving Notifications: Ensure the workflow has been published and the correct trigger has been selected. Also, verify the email addresses and phone numbers are entered correctly.
  • Custom Values Not Showing Correctly: Double-check the syntax used for custom values. Incorrect syntax can lead to values not being displayed as intended.
